HubSpot implementation that survives contact with your sales team

HubSpot implementation is the work of configuring a HubSpot portal around a company’s real sales, marketing and service process: object architecture, pipelines, lifecycle stages, automation, reporting and team enablement. A single-hub implementation takes about three weeks. It is a wider scope than HubSpot onboarding, which covers the software rather than your process.

Who this is for

You probably need this if…

If none of these sound familiar, you may not need us yet — and we would rather say so now.

  • You bought HubSpot months ago and the team still works out of spreadsheets.

  • Deal stages came from a template and nobody trusts the forecast.

  • Lifecycle stage, lead status and deal stage all mean slightly different things to different people.

  • Reporting requires someone to export to Excel before every leadership meeting.

  • HubSpot onboarding covered the buttons, not your process.

Scope

What's included in hubspot implementation

Every item below is a deliverable with an owner and a date, not a capability we happen to have.

  • 01

    CRM architecture

Object model, custom properties, associations and a naming convention documented in a portal handbook your next admin can actually read.

  • 02

    Pipelines and lifecycle

Deal stages with written exit criteria, lifecycle definitions agreed across marketing and sales, and the automation that moves records between them.

  • 03

    Automation and lead routing

Assignment rules, task creation, internal alerts, SLA timers and the workflows that stop records going quiet.

  • 04

    Reporting and dashboards

Pipeline, source attribution, activity and forecast dashboards built only on properties that are genuinely populated.

  • 05

    Data import and hygiene

Deduplicated import of contacts, companies and deals with owners and associations preserved.

  • 06

    Enablement

Role-based live training, recorded walkthroughs and a written playbook, so adoption survives past the first month.

Process

How a hubspot implementation project runs

6 stages over 3–6 weeks. You get a written plan before stage one, and a named owner on our side throughout.

  1. Discovery and process mapping

    Week 1

We map how leads actually enter, who touches them and where records currently die. The output is a written process map you sign off before anything is configured.

  2. Architecture and build

    Weeks 1–2

Objects, properties, pipelines, lifecycle logic and automation are built against the agreed map — not against a template.

  3. Data migration

    Week 2

Historical records are cleaned, deduplicated and imported with associations, owners and activity history intact.

  4. Reporting

    Week 3

Dashboards are assembled per role — rep, manager, executive — so nobody has to build their own and quietly give up.

  5. Enablement and go-live

    Week 3

Live training per role, documentation handover, and an assisted first week in the new portal.

  6. Post-launch support

    Weeks 4–5

Two weeks of included support for the adjustments nobody can predict before real use, then an optional monthly plan.

Commercials

Timeline and cost

HubSpot Implementation Services starts at $6,500 and typically takes 3–6 weeks. Includes data migration and role-based training.

That figure is a starting point, not an estimate we revise upward later. The first week of every engagement is a scoping week that ends with a fixed fee and a fixed date. If the scope turns out to be smaller than we assumed, the fee goes down.

We do not bill by the hour for project work. Hourly billing pays us to be slow, and it makes your budget a function of our efficiency rather than of your requirements.

FAQ

HubSpot implementation questions

Direct answers. If yours is not here, ask us and we will add it.

How long does HubSpot implementation take?

A standard single-hub HubSpot implementation takes about three weeks from kickoff to go-live. Multi-hub programs involving custom objects or a CRM migration typically run six to ten weeks. The variable is rarely build time — it is how quickly your team reviews and approves the process map in week one.

How much does HubSpot implementation cost?

HubSpot implementation with a partner agency typically costs between $5,000 and $30,000 as a one-time project, depending on hub count, custom objects and migration scope. Ours start at $6,500 for a single hub including data migration and training. Agencies billing hourly generally charge $150 to $250 per hour.

What is the difference between HubSpot onboarding and implementation?

HubSpot onboarding teaches your team the software and covers standard configuration. HubSpot implementation designs the system around your business process first — object architecture, pipeline logic, automation and reporting — then configures the portal to match. Onboarding answers "where is that button". Implementation answers "how should our revenue process work".

Do I still pay HubSpot’s onboarding fee if I use a partner?

No. HubSpot waives its own onboarding fee — $3,000 on Professional and $7,000 on Enterprise — when the work is delivered through a certified Solutions Partner instead. That waiver typically covers a meaningful share of a partner-led implementation, which is why using a partner is often cheaper than going direct.

Can HubSpot implementation include data migration?

Yes, and it should. Every implementation we run includes migrating contacts, companies and deals with owners and associations preserved. Full activity history — emails, calls, meetings and notes — is included when the source system can export it. A portal without history gets abandoned in week two.

Will you provide a project plan before you start?

Yes. Before any configuration begins you receive a written process map, a field-mapping workbook and a week-by-week plan with named owners on both sides. Nothing gets built until you have signed off on that document. It is also what we are held to if scope changes mid-project.

Is training included?

Yes. Every implementation includes role-based live training — separate sessions for reps, managers and marketing — plus recorded walkthroughs and a written playbook that stays with you. Generic single-session training is the most common reason implementations fail adoption, so we do not run it that way.

Can I implement one hub now and add others later?

Yes, and it is usually the right sequence. We architect the CRM foundation once — objects, properties, lifecycle stages — so adding Marketing, Service or Content Hub later is configuration rather than a rebuild. Starting with the hub closest to revenue gives you the fastest payback.
